Caretaker service in Berlin – someone who actually checks on your building

WohnWork Services is a Berlin trades company based in Wilmersdorf that looks after residential buildings and individual rental flats across the city: photo-documented inspections, small repairs, tenant handovers and key holding. The work is done by our own staff, repairs get a written fixed price upfront, and response times are written into your contract – agreed, not promised. Everything runs in English if you prefer.

What our caretaker service covers

We run 200+ furnished apartments in Berlin ourselves, and the caretaking routines we use there are the ones we offer you. The contract sets out which of them you need.

  • Inspections with photo reports

Stairwell, basement, attic, courtyard and bin area on an agreed schedule. Every visit is logged with photos, and any defects appear in your customer portal.

  • Small repairs in the building and flats

Dripping taps, sticking doors, broken lights, loose handrails – fixed by our own people for electrics, plumbing and decorating.

  • Tenant handovers and move-out checks

We check flats when tenants leave and hand them over when new ones arrive – with a written protocol, photos, meter readings and a key list.

  • Coordinating specialist trades

Anything that isn’t ours to touch, such as lifts, gas appliances or the roof, we report to you and schedule with the specialist firm you choose.

  • Key holding and emergency cover

We keep keys on a documented log and let in tradespeople or meter readers. How far the emergency cover goes is agreed with you.

  • Seasonal tasks

Leaves in autumn, grit supplies and liaising with the winter service you have hired, basement checks after heavy rain or frost.

Typical tasks

  • Monthly inspection with written report
  • Repair stairwell lighting
  • Fix a dripping tap in a rental flat
  • Adjust the front door and door closer
  • Move-out inspection with protocol
  • Move-in handover with meter readings
  • Let a tradesperson into the building
  • Check the basement for damp
  • Clear leaves from the courtyard
  • Log a tenant’s defect report

Own a flat in Berlin but live somewhere else?

Many caretaker firms only take on large estates – for those we offer a framework contract for property managers. We also work for individual owners with two or three rented flats – including landlords who live abroad and don’t want to find a German-speaking tradesperson every time a tap drips.

You get one contact person, your tenants get one number to report problems, and you can follow everything in the customer portal: what was reported, what was approved, what was done – with photos, documents and invoices. Emails, quotes and reports come in English if that’s what you need.

Why regular inspections pay off in Berlin buildings

Whether it’s a pre-war Altbau with a side wing and rear courtyard, a GDR-era Plattenbau or a new build, damage usually shows early: a damp patch in the basement, a flickering stairwell light, a front door that no longer latches, a blocked courtyard drain. An inspection catches it before it gets expensive or before the tenants complain.

We document every finding with a photo and location. Minor fixes within an agreed limit are done straight away; anything larger comes to you with our assessment and a fixed price, and you decide.

Caretaker costs and the service-charge statement

Worth knowing if you let property in Germany: routine caretaker work such as inspections and looking after shared areas can, as a rule, be passed on to tenants through the annual service-charge statement (Betriebskostenabrechnung). Repairs and maintenance cannot. That’s why it helps to see the two separately on the invoice – we discuss this with you when setting up the contract.

How much does a caretaker service cost in Berlin?

It depends on what should happen regularly. Recurring services – inspections, key holding, emergency cover – are fixed in the contract on set terms. Repairs spotted along the way get a written fixed price before work begins; travel within Berlin is included, and materials are itemised at purchase price plus a customary margin.

Any extra work is agreed with you first. Anything done without your approval is not billed. Invoices show the labour share separately, which matters for your service-charge statement and for the German tax reduction on household services (§ 35a EStG).

What determines the price

  • Size of the building and number of units
  • Inspection frequency – weekly, fortnightly, monthly
  • Scope of emergency cover: working days or extended
  • Extras such as handovers, leaf clearing or basement checks
How our prices work

How quickly does the caretaker respond?

For buildings we look after, response times are set out in the contract – agreed, not promised. New enquiries usually get a reply within one working day, and a first viewing is often possible as soon as the next working day. Our office at Landhausstraße 31 in Wilmersdorf is staffed Monday to Friday, 9 am to 5 pm.

For emergencies such as a water leak, our phone is answered 24/7; we tell you on the phone how soon someone can be there. We look after buildings in all twelve Berlin districts.

Frequently asked questions

Do you look after single flats or small buildings?

Yes. We also work for owners with two or three flats. Send us a short list with addresses, number of units and the tasks that come up, and we’ll suggest which services make sense on a regular basis.

What’s the difference between a Hausmeister and a Hauswart?

In practice, none. Hauswart is the older term you’ll see in contracts and service-charge statements; Hausmeister is the everyday word. Both mean a caretaker who looks after a building with inspections, small repairs and a point of contact.

Do you clear snow and ice?

We coordinate grit supplies and liaise with the winter service you have hired. Whether we can take on further winter tasks is discussed case by case and written into the contract. Keep in mind that the owner stays responsible for clearing and gritting until that duty is properly handed over.

How quickly do you come when something breaks?

As quickly as the contract says. We agree response times for each building with you rather than making blanket promises. For genuine emergencies, our phone is answered 24/7, emergencies included.

Can I see what has been done in my building?

Yes. The customer portal shows the status of every job, photos from inspections and repairs, handover protocols, and all documents and invoices – so you don’t have to chase anyone for updates.

Can my tenants contact you directly?

Yes, if you want them to. Tenants then report defects straight to us, in English or German. Small repairs up to an agreed limit are done without checking back; anything above that comes to you for approval first.
